One thing I’ve learned the hard way is this: you never know when someone is going to reach out wanting to buy your products on the spot or ask for more information. Those moments can happen anywhere—online, in person, at the grocery store, in the DMs—and you want to be ready for all of it. That one moment might be the break you’ve been praying for.
So let’s make sure you’re prepared.
Create a Brand Folder
Start by creating a “Brand Folder” on your desktop so you can quickly access everything you need when an opportunity pops up. When a potential client or buyer emails you, you don’t want to waste time digging around—you want to reply fast and confidently.
And because most of us are on the go, upload the contents of that folder to something like Dropbox, iCloud, or Google Drive so you can grab it from your phone or tablet anytime. From there, you can easily copy, paste, and tailor things to fit whoever you’re talking to.
Inside your Brand Folder, include:

A document with links to your social media pages, press features, reels, and videos

A press release in both Word and PDF (people have preferences, and sometimes it’s easier to paste content directly into an email)

Photos of your products in high quality
Digital and Hard Copy Business Cards
Your business card is usually the first thing people keep from you after meeting you, which means it’s often their first impression of your brand once you’re no longer standing in front of them. So it needs to look good and clearly reflect who you are and what you do.
Make sure your physical business cards are:

Up to date
-
Branded well
-
Including your social media, website, and title so people remember exactly who you are
Now, let’s talk digital.
You also need a digital business card. Your phone’s address book isn’t just for storing other people—it can be a home for your info too.
For example, on an iPhone you can create a contact for yourself that includes:

Your name

Your company name
-
Your phone number and email
-
Your website
-
Your headshot
-
Your social media handles
Then, when you meet someone, instead of just texting them your phone number and promising to “follow up later,” you can share your full contact card. They can save all your details to their phone with one tap. That’s professional, polished, and memorable.
Have a Note-Taking System
When creativity hits, it does not care where you are. You might be in the car line, at work, cooking dinner, or half asleep. You need one place to capture all those ideas, to-dos, and moments of inspiration.
That could look like:

A notes app on your phone

A digital notebook like OneNote or Notion

A simple Google Doc
The key is to pick one main place and stick with it. Sync it across your phone, computer, and tablet so your ideas don’t get lost on random sticky notes or buried in old text messages.
